Roster Status List

There are a number of different status's which can be set for someone within a roster;

Standby

Used in instances where someone is waiting & ready to be rostered, but hasn't yet been officially given the go-ahead to attend the event. Adding someone to the roster with this status does not include them in the list of people attending, and does not send emails to the person indicating they have been added to the roster.

Contacted

Used to indicate someone has been contacted to attend an event, but not yet responded or confirmed they are able to attend. Generally used in conjunction with notes which are entered indicating the latest contact someone had with the person.

Tentative

Used to roster someone to the event, but are still awaiting confirmation from the person that they are able to attend. The person rostered can confirm themselves via the home page and also when viewing the event details.

If they are still 'Tentative' within a week before the event, an SMS message is also sent to them a week prior to the event to ask that they confirm if they are able to attend the event.

Confirmed

The person has been rostered and is ready to attend the event. If the event has past, it indicates they have not yet confirmed that they have actually attended the event. When added to the roster with this status, the person is included as those whom are attending, and notifies them via email/sms based on their preferences.

Attended

The person has attended the event and confirmed their hours & that they were actually at the event. The hours which are entered are used for payroll and shown in the 'My Hours' page.

Withdrawn

The person in question was taken off the roster for some reason. Usually this happens prior to the event commencing, and was done in consultation with a staff member.

Did not attend

Indicates the person simply did not turn up to the event, or did not attend without giving notice as such.

Unavailable

This is used when someone might have been contacted and has responded indicating they're unavailable for this shift. This does not necessarily mean they're unavailable that day, or even only when the shift it on ... a variety of other factors may be the reason this person is unavailable.

Changing the default status

By default, people that are newly added to the roster are given the status 'Confirmed'. You can change the status that people are initially given by going to the 'Options' dropdown menu on the right-hand side of the screen, just above the list of currently rostered people.
