Automatic Rostering

The events management system has the ability to find and roster staff whom are available for your event automatically. You can have the system do this as a 'once-off', by selecting an event, and then choosing 'Populate roster' from the list of actions available.

This will use the list of people available whom have access to the event, and roster them to the event until the number of staff rostered reaches the maximum you would like to attend the event.

Staff rostered will be chosen by the how often they are available around the time of your event - the more days someone is available to attend events, the higher the preference they will be given.

Staff preferences for particular event types are also taken into account when choosing someone to attend the event - those who prefer to attend the type of event in question will be allocated to attend an event in preference to someone who prefers to attend other event types instead. These preferences can be set via someone's 'preferences' screen.

Maintaining staffing levels

If 'Automatically roster staff?' is selected within the event details (in the 'edit event details' screen), the system will automatically replace any staff who withdraws from the event with someone else that is available, and ensure at least the minimum number of staff is met at all times, until there are no more staff available to attend.
