Automatic Fee Calculation

The system can be setup to automatically calculate the fee to be used for the event based on a number of factors - the day and times the event is scheduled on, if it's been scheduled on a public holiday, and how many staff are required.

Setup

The first step is to setup billing rates which the system will use to calculate the fee to be charged.

Using

Once the billing rates are setup, all you need to do is select 'Automatically calculate fee' next to the Fee box when you enter your event, and the totals will be calculated automatically once you save the event details.

Be sure to enter the staff required as accurately as possible - the minimum number of staff is used in the calculations. If more staff have been rostered than the minimum specified, then the number of staff rostered (and attended) will be used instead.

As staff confirm their hours for the event, and the post-event report is submitted, the fee is also sometimes re-calculated if the hours worked were different to the scheduled hours.

If there are a minimum number of hours worked entered, this will also be taken into account to ensure the client is charged at least the minimum specified at all times.
