  • Some event teams/positions can be setup to always be available to roster people into - eg. as an observer/volunteer at an event (even if those positions aren't listed in the 'Staff required'). To do this, tick the following box when editing an event team/position;

  • Equivalent positions are taken into account - eg. Advanced Medics can be rostered if the 'Medic' position is listed in the 'Staff required' (and assuming 'Advanced Medic' is listed as an equivalent positions of the 'Medic' team/position) (see below for equivalent positions)

Additional permissions

Certain event teams/positions - eg. team-leader, or site manager, can be setup to give people assigned additional permissions for that event the person is rostered to. This is intended to allow those people to be able to roster others, review & accept EOI entries, etc, without requiring access to every other event within the organisation.

These permissions are valid whilst the person rostered is attending (eg. they haven't withdrawn from the event), and until 48 hours after their shift has completed (to allow for any post-event roster changes, etc).

Equivalent positions

There may be instances where your event will require staff in certain positions - eg;

This works well if staff are assigned to those positions, however there is sometimes occasions where a staff member might need to be rostered based on their skills (and also may need to be invoiced/have payroll applied under different rates), however you wouldn't want to edit the event requirements each time this happens.

Example 1;

The event requirements are as follows;

In this example, Sarah has all the skills and qualifications to work as a 'Medic', but would like to be be rostered as a 'Doctor' (she also meets those requirements).

To achieve this, the 'Medic' event team/position should be setup as follows in the 'Equivalent teams/positions' box;

When setup in this way, people whom are rostered as 'Advanced Medic' and 'Medic (Paramedic)' will count towards the event-staffing requirements (such as in the above example of requiring 3 medics).

Example 2;

The event has the following requirements;

The following people are rostered;

...

As there are enough people rostered to the 'Advanced Medic' position, the surplus 'Advanced Medic' staff will be counted towards the 'Medic' position, meaning the event will be show as being adequately staffedSee equivalent positions for more information on setting up Equivalent positions.
